Duties

This is a fantastic opportunity to develop the qualities and skills to become a qualified Business Administrator at Level 3 while working as a Trainee Tender Administrator for a leading specialist contractor and getting to know different aspects of working in the construction industry. Progression from this entry level position is possible and can include: Design Coordination, Graphics Designer, Estimating, Quantity Surveying, Planning, Construction Management, Site Management, Contract Management, Project Management.


Main purpose of the role:

This role will provide our Pre-construction team with efficient and effective support of tender administration, ensuring preparation and management of documents pertaining to our tenders.


Responsibilities will include:

  • Downloading tender information to the server and creating a document list
  • Conducting regular document audits, ensuring that latest changes are incorporated to plans and documentation and that version control is maintained, ensuring that ‘standard bids’, materials, policy documents and procedures on the pre-construction database are current
  • Ensuring all documentation meets format requirements and tender / company standards
  • Assisting with the production of pre-qualification questionnaires including receiving & coordinating responses, and completing & returning them
  • Establishing and maintaining tender documents including amendments on the system(s) along with recording in-coming and out-going communication
  • Internal distribution of information in an efficient and timely manner
  • Proof reading and formatting documents as required
  • Assisting the estimating team
  • Ensuring that tender documentation is securely stored and easily and quickly available when required
  • Preparing, operating and updating document control procedures
  • Developing and maintaining professional working relationships with a range of internal and external stakeholders
  • Maintaining the database of sub-contractors and suppliers
  • Assisting with the production the Tender Submission Documents / Presentations including receiving & coordinating information from the rest of the team, and submitting tenders timely in paper and electronic format as required to meet deadlines
  • Maintaining the estimating department calendar – meetings & holidays etc.
  • Compiling contract document sets and lists
  • Other ad hoc admin duties

Essential criteria

The successful candidate will be motivated, well-organised and flexible, with excellent skills in both written and verbal communication, and competent in the use of a range of IT packages for information presentation. Our Tender Administrators show initiative, are

proactive, manage priorities and their own time, and support their teams with problem-solving and people management skills.


Person specification:

Ideally candidates will have five GCSEs or equivalent, including Maths, English and an IT subject; or have completed a L2 apprenticeship.

  • Willingness and ability to travel; and
  • The right to work permanently and legally in the UK.
